About Job Management
In the ever-changing and complex South African and global economic, social and technological environments, the effective management of Human Capital forces companies to use advanced systems within the framework of legislation.
The Job Management Module for VIP Premier increases efficiency in the Human Resources office by offering an easy to use tool to administer Positions Hierarchy and Job Tree Structure profiles.
Advanced control mechanisms ensure that should the Job Management Module be activated, no employee can be loaded onto the system unless a position is available for him or her.

- A Recruitment Functionality which includes a Recruitment and Termination database for the storing of unlimited applicant information,
- An Appointment Functionality which consists of the creation of Job Codes and Positions in the company and the appointment of employees to the relevant Positions,
- A Management Functionality which involves the management of all Jobs and Positions within the company,
- A Tree Structure (organogram) Functionality which includes the generation of the Position Hierarchy of the company,
- An unlimited number of History Transactions per Position may be stored on the Position History screen,
- The listing of all Positions is available, including the listing of all Vacant Positions,
- The Electronic Importing of Job Codes and Positions,
- Employees can be appointed to Positions on an individual basis, or by making use of Batch Input,
- The measurement of employees against the Key Performance Areas and Key Performance Indicators of their Job Descriptions, and
- Advanced Reporting on all aspects of Human Capital as available in this Module.
Recruitment Functionality
A Recruitment company can be created in VIP where the possible applicants for the Positions available in the company can be loaded.
The Recruitment Functionality includes:
- A Recruitment and Termination Database.
- The storing of unlimited applicant information in a separate Recruitment entity (Curriculum Vitae or Resume).
- Advanced Reporting on the cost of Recruitment.
- Seamless transfer of successful applicant(s) into Live VIP Companies.
- Reports to identify the best suited candidate for a Position.
- An indication of Positions which were applied for.
- The use of ODBC for the automatic creation of letters of regret to unsuccessful candidates.
The Application to Recruit Report supplies the Recruitment Officer with the details of the available Position.
Job Code vs Position
Each employee in the company must be linked to a Position.
Each Position must be linked to a Job Code.
Each Position reports to another Position.
Position Hierarchy
All Positions with the relevant Report To Positions are displayed on screen.
The Employees appointed to the Positions as well as the Company Number where the Employee is linked, are displayed.
Position History Screen
An unlimited number of History Transactions per Position is stored.
Included on this screen is:
- The Position Description.
- Who authorised the change in position.
- Reason for the change.
- New Job Titles and Codes.
- The Function, Benefits, Pay Scale, Key Tasks, Skills, Qualifications and Experience of the employee.
Performance Evaluations
The Performance Evaluation function includes:
- The measurement of employees against the Key Performance Areas (KPA’s) and Key Performance Indicators (KPI’s) of their Job Descriptions,
- The ability to create a norm for KPA’s specified in the organisation and measuring individual specific performance against the norm using a Performance Rating Scale,
- A Weighted Result for easy interpretation and reporting, and
- Extensive Reporting of over and under achievers.

How to Access the Job Management Module Options
- Click on HRM.
- Click on Job Management.
- The Job Management Menu with all the available options and Sub Menu options will be displayed.
